Insights from Carla Quinn, Smart PA at our Marlow Networking & Business Mastermind Event

At our November COCO Women Founders business mastermind and networking event in Marlow, we were joined by the brilliant Carla Quinn, founder of CQ PA Services and SmartPA partner. Carla delivered a transformative session on a topic every founder can relate to: admin overwhelm. With warmth, insights, and real talk, Carla unpacked why admin drains so much of our time and energy — and how small shifts can make an enormous impact on our clarity, productivity, and peace of mind.

Carla opened her session by asking everyone to close their eyes and picture the life and business they truly want — a moment of calm that highlighted the gap between our big dreams and the day-to-day noise that holds us back.

– Late-night panic sessions

Every founder reaches a point where they want to spend less time “doing the doing” and more time growing their business, being with loved ones, or simply doing what they enjoy. And that starts with taking control.

  • Reacting instead of planning

Your Weekly Admin Rhythm

One of Carla’s biggest takeaways was the power of a weekly admin rhythm.
Her rule: Treat admin like a client.

Schedule it, protect it, and commit to it.

She recommends setting aside four 30-minute blocks each week, ideally earlier in the day when your energy is higher. Colour-code these appointments, guard them, and watch your clarity and evenings return.

Quick Wins That Reduce Admin Stress Immediately

Carla delivered practical, easy-to-implement tips that COCO members were scribbling down:

  • Batch similar tasks to stay in flow

  • Use templates for repeat emails

  • Try voice notes or speech-to-text

  • Declutter your inbox with functional folders (Pending, Completed, Invoices, etc.)

  • Use clear naming conventions for files so everything is searchable

These small shifts minimise repetition and reduce the daily mental load.

The Tools That Make the Biggest Difference

Carla reassured everyone that you don’t need dozens of apps — you just need the right ones. Her recommended essentials included:

  • Inbox & Calendar: Gmail + Calendly, or Microsoft + Bookings

  • Project Management: Trello, Asana or ClickUp

  • Invoicing: Xero or QuickBooks

  • Document Signing: HelloSign or DocuSign

  • Cloud Storage: Google Drive or OneDrive

Her golden rule: Pick one new tool at a time and master it.

Scheduling, Boundaries, and Working with Your Energy

Understanding your natural flow is key. Are you sharper in the morning? Better after lunch? Creatively switched on later in the day?

Carla encouraged founders to align admin with their best brain time, not their worst, and to stick to those scheduled slots — the payoff is more energy, more space, and more joy.

If admin is blocking growth, that’s your sign to delegate.

Carla demystified the idea that outsourcing is expensive. When you compare the cost of a VA with your own hourly value — or with the cost of hiring a full-time employee — the maths becomes simple. Delegating doesn’t just save money; it buys back time, energy, and enjoyment.

You don’t have to do everything alone.
